Seasonal extra guest pricing lets you charge a different extra-guest fee for specific date ranges instead of one flat rule all year. A common setup: publish a lower base rate for the off-season and charge $25 per night for every guest over 6 from mid-September through early May, while leaving summer — when demand carries the price on its own — with no extra-guest charge at all. Smaller groups book at the base price; larger groups pay only when they actually bring more people.
- You want to market a lower base price to small groups during slower months, and let larger groups fund the difference.
- Your extra-guest fee should apply only in the off-season, not during high-demand summer weeks.
- You charge a year-round extra-guest fee but want to waive or change it for one season.
- Your OwnerRez account already bills a season-limited extra guest charge and you want Haven to price stays the same way.
Open your property's Calendar, switch to the Pricing tab, and find the Stay fees section — the same place as the year-round Extra guest fee.
Under the extra guest fee, use Add seasonal rate in the Seasonal extra guest pricing block. Each window has:
- Start and end date — the stay nights the window covers, endpoints included. A window may span a year boundary (September 13, 2026 through May 1, 2027 is one window).
- Fee per extra guest per night — what each additional guest pays for each night inside the window. A fee of $0 is meaningful: it waives your year-round extra-guest fee for those dates.
- Applies after X guests — how many guests the base price includes during this window. With a threshold of 6 and a fee of $25, a party of 8 pays $50 more per night.
- Charge up to X guests (optional) — a billing cap. With a cap of 15, guests beyond the fifteenth are not charged even if your listing sleeps more.
- Label (optional) — a name for your own reference, such as "Off-season 2026–27".
Windows for one property cannot overlap; Haven validates this when you save.
Nights outside every window still use the regular Extra guest fee and its guest threshold. For an off-season-only charge, leave the year-round fee at $0 and put the charge in the window. For the reverse — a summer-only charge — set the window over summer and leave the year-round fee at $0 as well.
Haven resolves the extra-guest charge night by night, so a stay that straddles a window boundary is priced correctly on both sides:
- A per-night fee synced from PriceLabs (if you use PriceLabs dynamic pricing for extra-guest fees) always wins for its date.
- Otherwise, a seasonal window covering the night supplies both the fee and the guest threshold.
- Otherwise, the year-round extra guest fee and threshold apply.
The charge appears in the guest's price breakdown the same way the year-round fee does, and it is frozen into the booking at checkout — editing a window later never re-prices an existing reservation.
If your property is connected to OwnerRez, Haven imports season-limited extra guest surcharges automatically during property sync — the setup that OwnerRez expresses as "every guest over 6 pays $25 per night from 9/13/26 to 5/1/27, up to 15 guests" arrives as a matching seasonal window, including the guest threshold and the billing cap.
A few details worth knowing:
- Date-based rules sync exactly. An OwnerRez surcharge restricted by an arrival-date range or by months of the year becomes one or more windows with those dates. Month-based rules are materialized for the current year and the next, and refresh on every sync.
- Named OwnerRez seasons cannot carry their dates across. The OwnerRez API does not expose season date ranges, so a surcharge scoped to a named season still imports as the year-round extra guest fee (the published amount is never dropped). To make it seasonal in Haven, add the window yourself with the dates from your OwnerRez season.
- Synced windows are managed by the sync. They appear in the list marked as synced from OwnerRez and update whenever the rule changes in OwnerRez; edit the rule there rather than in Haven. Windows you create yourself are never touched by the sync, and if one of your windows overlaps a synced rule's dates, your window wins.
- Rules Haven cannot prove are never guessed. A surcharge with additional custom criteria (a minimum-night condition on top of the dates, for example) is left unmapped and surfaced on the sync record instead of being billed approximately.

- Base nightly rates are untouched — a window changes only the extra-guest charge. To raise nightly rates for a season, use Holiday Price Bumps or price overrides on the calendar.
- Existing bookings are never re-priced when you add, edit, or remove a window.
- Windows do not restrict occupancy. Your Max guests setting still controls how many guests can book; the optional cap only limits how many are billed.
