Haven can send the digital guidebook to guests who booked on Airbnb, Vrbo, or a connected PMS — and can start automations when those stays move through their lifecycle. Nothing turns on by itself. You choose who sends the guide, and you enable each automation deliberately.
When OTA auto-send is on, Haven posts a signed, expiring link scoped to that reservation. The guest uses it to open their guide. Haven asks for an email only to unlock the guide. Nothing is shared with Airbnb, Vrbo, or your PMS.
On some connections the "booking thread" send is itself an email your PMS delivers (Guesty does this for non-Airbnb platforms). The setting is named by who sends, not by the medium.
You can also set delivery from Communication → Message automations: press Edit wording on a guidebook card. The booking-thread wording takes {guest_first_name}, {property_name}, {guidebook_link}, {guest_form_link} and {early_late_offer} — a line offering early check-in or late checkout with a link to the guidebook's Offers tab, which the default welcome ends with and which is dropped when the listing sells neither. The editor's trigger shows On for X listings — open it to search, sort, and flip Email, booking chat, and collect-email per listing. The same Arrival-guide controls write the same columns.
On the guest journey, the Guidebook — before check-in card's timing sets the reminder days (for one listing, or every listing on All listings) and the hour of the listing's day the email and text go at; a booking-thread post goes when the daily run reaches the stay. Its recipients control can send both guidebook messages to Everyone on the stay — every co-traveler who accepted an invitation gets their own email.
On Sites → Guidebooks, click Settings for all. The sheet has the same switches as a listing's Arrival tab, and each one sets every guidebook.
Under each switch is a count, such as On for 26 of 27. Click it to see which guidebooks are on and which are off. The smaller group is listed first, so the one guidebook that differs is at the top.
Email, text, and WhatsApp on that flow are the same editors as every other automation. Booking chat is the post in the Airbnb or Vrbo thread. With Haven emails it, and your PMS posts it, that post goes out even when Haven also emails. With Your PMS sends it, it is the only send. A listing can pick which guest form a direct message offers. OTA guests only receive a form or survey when you turn on Email it before check-in for that form under Communication → Guest forms.
A PMS-supplied address is emailed only when it is a real inbox, not an OTA relay (guest.airbnb.com, airbnb.com, Booking.com, Vrbo, and similar). Staff bookwithhaven.com addresses and Apple Hide My Email stay deliverable. Haven never sends a test message to find out — the decision is made from the address itself.
OwnerRez does not let Haven post into its booking threads, so the OTA auto-send switch is unavailable on OwnerRez listings. Send the guidebook through your own OwnerRez messages instead: see Send Your Guidebook Through OwnerRez.
Campaign triggers that carry a stay now have a Which bookings? setting: any, direct only, or OTA only. The picker also groups those moments under On an OTA booking, which preselects OTA only.
An OTA booking synced from your PMS starts these automations only once the stay is opted into Haven's guest messages (any of the OTA switches above, a guide deposit, or Send now) and Haven has a real email address for the guest (one they confirmed in the guide, or a PMS address that is not a relay). Booking confirmed fires when the booking first arrives, not for stays already booked when you connected. See The Guest Journey.
Haven ships an optional OTA guest add-ons automation, paused, with the Haven default badge. Turn it on only when auto-send and email capture are on — it is remarketing, so it will not send without a consent record.
{{haven_guidebook_url}} onto each synced reservation — the public guide URL, not the signed magic link. That is a convenience, not delivery. If you also leave Haven auto-send on, the guest can receive the guide twice.{{haven_guidebook_url}} where the guest should see the guide link.New to Haven?
