Whole & Parts: Rent a Place Whole or in Pieces

Whole & parts is for a place guests can rent in full or in pieces: a house and an RV on one lot, a main house with a guesthouse, a duplex rented as two units or as one. One listing is the whole, and the listings that rent a piece of it are its parts. Haven keeps the calendars honest, with no iCal links to copy:

  • A booking on a part closes the whole. Nobody can book the entire place while a piece of it is taken.
  • A booking on the whole closes every part.
  • Parts never close each other. The house can be booked while the RV is free, and the other way round.

Blocked dates work the same way as bookings, with the one exception under How your PMS fits in.

Each listing keeps its own price, photos, description, web address and calendar. Guests just see the dates a listing can't take as unavailable, on the group site and on the listing's own page. They never see why.

When to use it

How to set it up

From a group site:

  1. Open the group site editor → Properties tab → Whole & parts → Add.
  2. Choose The whole listing.
  3. Tick Its parts. The panel spells out what each booking will close, using your listing names.
  4. Click Save.

From a listing:

  1. Open the listing editor → Settings tab → Whole & parts.
  2. Choose The whole and tick its parts, or A part and choose the whole it belongs to.
  3. Click Save.

The two places show the same setup, so a change in one shows in the other. On the group site, each listing's row also says Whole · 2 parts or Part of Thunder Bay Luxury. To undo it, choose On its own on the listing, or untick the parts and save.

You can also ask the assistant: "Beach Paradise and the RV are parts of Thunder Bay Luxury." It shows you the change and saves it once you accept.

What happens to bookings you already have

Nothing is cancelled. Bookings and blocks already on a listing start closing its whole or parts as soon as you save, so check the calendars afterwards. If two listings already have overlapping stays, both stay in place, and you'll need to move one yourself.

How your PMS fits in

Haven's own booking pages and calendars follow the setup on every listing, whichever system a booking came through. Airbnb, Vrbo and your other channels depend on your PMS:

  • PMSs Haven can write calendars to: Haven closes and reopens the nights there for you.
  • OwnerRez: Haven can't change OwnerRez calendars or this setting, so there is one step to do in OwnerRez. Open the whole's property → Calendar → Mutual Blocking, and link each part to it. Don't link the parts to each other. OwnerRez then closes the channels itself, and blocks anything already booked as soon as you turn it on. Until you do, Airbnb and Vrbo can still sell the whole while a part is booked.
  • Any other PMS Haven can only read from: make the same link in that PMS. The Whole & parts panel says so when this applies.

A block you make in your PMS on the whole doesn't close the parts on Haven, because the PMS decides which of its own calendars a block covers. If the parts should close too, block them in the PMS as well. A block you make in Haven on the whole does close its parts.

A calendar you import to the whole by iCal always closes its parts, because a feed can't say whether a date is a stay or a block. If that listing's channel also imports Haven's feed, a booking on one part can come back through that feed and close the other parts until the booking ends. Connecting a PMS avoids this.

Limits

  • One level only: a whole can't also be a part, and a listing can be a part of only one whole.
  • A listing that shares a calendar or belongs to a room type can't be a whole or a part. Take it out of that first.
  • Archiving a listing takes it out of the setup. Archiving a whole frees all its parts.
  • All the listings must be on the same account. A listing in a setup can't be assigned to a client until you take it out.
  • This setup controls availability only. Prices, fees and guest counts stay what each listing says, so price the whole yourself.
