Collect Payments Yourself (Zelle, Venmo, Bank Transfer)
Collect payments yourself lets guests pay you directly — by Zelle, Venmo, bank transfer, PayPal, Cash App or another way you name — instead of paying by card through Haven. Haven charges nothing on these stays. It emails each guest your payment details and asks for each payment ahead of its due date, in full or in instalments on your schedule. You get an email (and a text, if you turn it on) each time a request goes out, so you know to watch for the money, and you record each payment when it arrives.
It is an advanced option for accounts on a paid Haven plan. It is not available on partner accounts or for a partner's clients.
When to use
- Your guests prefer to pay you by Zelle, Venmo or bank transfer, and you want Haven to send the payment requests and keep track of them.
- You take a deposit now and the rest later (or in several payments) without card fees.
- You take bookings by phone or email and want Haven to send the guest your payment details and schedule.
How to set it up
- Open Payouts in your dashboard and scroll to Advanced → Collect payments yourself.
- Under Payment details, add each way guests can pay you: pick Zelle, Venmo, Bank transfer, PayPal, Cash App or Other, and type the details a guest needs (for example the Zelle email and the name it shows, or your account name and numbers).
- Under Schedule, choose Full payment at booking or a deposit with up to four more payments and the balance a number of days before check-in. This is the same kind of schedule as a listing's card payment schedule.
- Set Ask N days before each due date — how far ahead Haven emails the request for each later payment (7 days unless you change it).
- Turn on Collect direct bookings yourself.
Only the account owner, signed in to their own account, can change these settings. Every change to your payment details emails you a security notice, and Haven's team is told.
What happens when it's on
- Every booking is a request. Instant book turns off on your direct listings while this is on. Guests see on the booking page that you collect payment directly, how you take it (Zelle, Venmo…) and your schedule, but not your account details, and no card is taken.
- Approving a request confirms the stay. The guest gets the confirmation email and a How to pay you email with your payment details, every payment and when it is due, and the first payment to send now.
- A pre-approved inquiry shows the guest a Confirm booking button instead of a card form. Confirming books the dates and sends the same How to pay you email.
- Each later payment is requested by a Payment due email, sent the number of days you chose before its due date.
- You are told each time a request goes out, by email and, if you turn on the Guest asked to pay you text alert, by text. A Watch for payment card stays on your Home inbox until you record the payment, and turns to Overdue after its due date.
- Record each payment on the reservation: open it, then in Payment requests choose Mark received (or Record payment on the Payments card). The guest gets a Payment received email with what is left, and the next request goes out on schedule. A payment you record early means its request is never sent.
- The guest's reservation page shows the same payment details and schedule, with a note that these are the only details you use, so a guest can check them on Haven before sending money.
Changing a stay's payments
On the reservation, Payment requests lists every payment with its state (Upcoming, Requested, Overdue, Received). You can:
- Edit schedule — change the amounts and due dates of payments not requested yet. They must add up to what is left to ask for.
- Send now / Send again — email a request early, or again if the guest lost it.
- Edit price — change the stay's price on the Payments card. The payments still to request follow the new total. Modify reservation (new dates or guests) works the same way: no money moves through Haven, and the remaining payments are re-planned.
Manual bookings
When you create a booking yourself (Calendar → drag the dates → Create manual booking), choose Send your payment details. Haven confirms the stay and emails the guest your payment details and schedule, exactly as for an approved request. This works even when Collect direct bookings yourself is off, so your site can stay on card checkout while phone bookings are paid to you directly. See Manual Bookings.
Emails you can edit
The guest emails are on Communication → Message automations, under You collect a stay's payment yourself: How to pay you, Payment due and Payment received. Switch each one off or edit its wording like any other automation. Your payment details, the amounts and the safety note are added for you. The cards appear once you have set up Collect payments yourself.
Key details
- Paid plans only. If your plan ends, Haven pauses the payment requests on stays already booked and tells you. They resume on their own when your plan is active again. Requests from guests still arrive while you are on the free plan, but approving one asks you to choose a plan, as before.
- Not for partners. It is not available on partner accounts, for a partner's clients, or between an account and the manager of its listings. Joining a partner turns it off and emails you, and Haven stops the requests on stays collected this way.
- Haven never holds or refunds this money. If a stay is cancelled, Haven stops the remaining requests. Any refund is between you and the guest.
- Security deposits on these stays are yours to collect and return, unless your guidebook asks guests to add a card for the deposit.
- Screen & Protect and guest ID verification are billed to the card on your Haven account, because there is no guest checkout to add them to. You need a card on file to turn this on while either is in use.
- Not available with add-ons sold at booking. Guests who pay you directly never reach a checkout to buy them. Offer add-ons after booking from the guidebook instead.
- Haven credits, gift cards and loyalty points can't be spent on these stays.
- Multi-room bookings always pay through Haven checkout.
- Stays from Airbnb, Vrbo or your PMS are never included: this is only for direct bookings on your Haven site.
