Vrbo Same-Day Booking: The Airbnb Calendar Sync Gap

Vrbo now lets guests book a stay on the day they arrive. Expedia Group announced Same-Day Bookings as live on September 1, 2026, as one of 12 new partner products for Vrbo and Escapia, describing it as an opt-in setting that enables "bookings within 24 hours (before 12pm day of stay)." For a host with an empty night on the calendar, that is new demand Vrbo could not send before.

The catch is on the other channel, for any host who also lists on Airbnb and connects the two with iCal links. Airbnb's help center says an imported calendar "automatically updates every 3 hours." So a Vrbo guest who books tonight at 11:55 a.m. can leave tonight open on Airbnb until nearly 3 p.m., which is after the 2 p.m. or later check-in Vrbo requires for same-day stays.

If an Airbnb guest takes that night inside the gap, the host has to cancel one of the two bookings. Since September 15, 2026, a host cancellation on Vrbo decides more than a fee: it decides whether the listing keeps Premier Host status, whether it stays eligible for same-day bookings, and at the extreme, whether it stays on Vrbo.

What Vrbo's same-day bookings actually allow

Same-Day Bookings is opt-in. Expedia Group's September 1, 2026 release lists it as "Live Now" alongside two new flexible cancellation policies (release). The cutoff is noon on the day of stay, so a guest cannot book tonight at 6 p.m.

Eligibility depends on how you run the listing. Vrbo's availability settings page sets out two paths:

• Hosts working in the Vrbo Owner Dashboard must have Premier Host status, Instant Booking enabled, and SMS notifications enabled, with a check-in time of 2 p.m. or later.
• Hosts using connected software must have the minPriorNotify value set to zero. Ask your software vendor where that value is set before you expect same-day bookings to arrive.

The same page warns that calendar setting changes "may take up to 24 hours to appear," so change notice settings a day before you need them.

How long does a Vrbo booking take to reach your Airbnb calendar?

With iCal, each platform fetches the other's calendar on its own schedule. Airbnb pulls your Vrbo calendar every 3 hours, and it notes that you can refresh manually, but that it can only request updates "so many times" before you have to wait for the next automatic update (Airbnb help article 99). Vrbo pulls your Airbnb calendar every 30 minutes and also allows a manual refresh (Vrbo help center).

That makes the gap lopsided. An Airbnb booking shows up on Vrbo within 30 minutes. A Vrbo booking can take up to 3 hours to show up on Airbnb.

Here is the worst case, stated plainly as a worst case because it assumes Airbnb's last automatic pull landed just before the Vrbo booking:

• 11:50 a.m. Airbnb pulls your Vrbo calendar. Tonight is open.
• 11:55 a.m. A guest books tonight on Vrbo, five minutes before the noon cutoff.
• 2:00 p.m. Check-in, the earliest Vrbo allows for a same-day stay. Tonight still shows as open on Airbnb.
• 2:50 p.m. Airbnb's next automatic pull finally blocks tonight.

That is a window of 2 hours and 55 minutes. If the Vrbo booking lands at a random point in Airbnb's 3 hour cycle, the average wait is half the cycle, or 90 minutes, and it falls in the hours when last-minute Airbnb guests are searching for tonight.

The 3 hour lag itself is not new. What changed on September 1 is which night sits inside it. Before, a collision meant rebooking a guest weeks out. Now it can mean two parties at the same door the same afternoon.

The reverse direction is not zero risk either. An Airbnb guest who books tonight at 11:40 a.m. may not appear on Vrbo until 12:10 p.m., and Vrbo keeps selling tonight until noon.

Why one double booking now costs more on Vrbo

Vrbo treats a double booking like any other host cancellation. When you cancel, Vrbo requires a full refund unless the guest broke house rules, and the same page states that "partner-initiated cancellations do affect your Ranking Metrics, regardless of the reason." Vrbo's waiver page says penalties such as payout deductions or a 7-day temporary suspension are applied 10 days after the cancellation, and the reasons it lists as acceptable are natural disasters, property damage, house rules violations, and past due balances. A calendar sync failure is not on that list.

Same-day eligibility depends on a 0% cancellation rate

Premier Host is judged per listing and requires "an owner-initiated cancellation rate of 0%" (Vrbo help center). Zero is not a low tolerance. It is none.

Vrbo reviews Premier Host listings quarterly, on February 1, May 1, August 1, and November 1, looking back 12 months. A host cancellation on September 25, 2026 would be inside the window at the November 1, 2026 review and at every review through August 1, 2027. The listing is added back automatically once it qualifies again, which in this example means after the cancellation ages out of the 12 month window in late September 2027. For about 11 months, that listing loses the badge, the automatic increase in search position that comes with it, and, because Premier Host is a same-day requirement for Dashboard hosts, the same-day feature that caused the problem.

The 10% minimum standard and small listings

The bigger risk sits under the badge. Vrbo's minimum standards, in force since September 15, 2026, remove a listing that fails any one of three tests over the previous 12 months: an acceptance rate greater than 50%, a host-initiated cancellation rate lower than 10%, and an average rating higher than 2.0. A listing that falls below standard "will be permanently suspended from receiving future reservations," though existing confirmed reservations are honored.

Vrbo does not publish the exact denominator. Its ranking metrics page describes cancellation rate as "the percentage of host-initiated cancellations over the last 365 days." If that percentage is counted per booking, the math for a small listing is tight:

• 10 Vrbo bookings in 12 months and 1 host cancellation: 1 ÷ 10 = 10%, which is not lower than 10%.
• 20 bookings and 1 cancellation: 1 ÷ 20 = 5%, which passes.
• 20 bookings and 2 cancellations: 2 ÷ 20 = 10%, which fails again.

Vrbo also says the program applies "only to listings with enough performance history to be evaluated," without defining how much. Treat these numbers as a floor to stay well above, not a budget to spend.

What should a two channel host change before opting in?

Three settings close most of the gap. Do them in this order.

1. Pick one same-day channel. Airbnb's advance notice setting offers "Same day (with a cut-off time)" as well as "At least 1 day" (Airbnb help article 484). If you want Vrbo's same-day guests, set Airbnb to at least 1 day of notice so tonight belongs to Vrbo alone. If you would rather keep same-day on Airbnb, leave Vrbo's same-day setting off. Running both on iCal leaves the 3 hour window open.

2. Replace iCal with an API connection if you want same-day on both channels. A property management system or channel manager that connects to Airbnb and Vrbo directly pushes availability changes instead of waiting for each platform's pull cycle. Vrbo's own help center notes that you cannot import calendars into a listing managed through third-party property management software (Vrbo help center), so connected hosts are already on the software path, and the minPriorNotify setting is where same-day gets switched on. Ask your vendor how quickly a new Vrbo booking reaches Airbnb, and get the answer in minutes.

3. Refresh Airbnb by hand after every same-day Vrbo booking. Open the imported Vrbo calendar in Airbnb and select Refresh as soon as the Vrbo confirmation arrives. Airbnb limits how often you can force an update (help article 99), so save manual refreshes for same-day and next-day bookings, where the gap actually bites.

If a collision happens anyway, keep every message on the platform and contact Vrbo support within the 10 day window its waiver page sets. A sync error is not a listed reason, so do not count on a waiver.

What to watch next

Expedia Group says non-refundable rates and Vrbo listings inside Expedia packages are coming next, along with Host with Confidence, a host protection program now in beta (release). Should I turn on Vrbo same-day bookings if I also list on Airbnb?

Only if you close the calendar gap first. With iCal sync, Airbnb can take up to 3 hours to see a Vrbo booking, so set Airbnb to at least 1 day of advance notice or move both channels to an API connected channel manager before opting in. Otherwise a noon Vrbo booking can still be open on Airbnb after a 2 p.m. check-in.

How long does it take for a Vrbo booking to block my Airbnb calendar?
